Cora’s take
QuickBooks can be a sensible starting point when a contractor’s accounting workflow remains manageable. FOUNDATION deserves a serious evaluation when detailed construction job costs, payroll complexity, and reporting are driving repeated workarounds. The trigger is operational complexity—not a universal revenue threshold.
Which QuickBooks are we comparing?
Here, FOUNDATION means the construction accounting platform from Foundation Software. The QuickBooks discussion centers on the US QuickBooks Online construction offering and relevant payroll services. QuickBooks Desktop, Enterprise, and Intuit Enterprise Suite are different products; this comparison should not be applied to all of them as if their capabilities were identical.
FOUNDATION emphasizes job costing, construction payroll, financial reporting, accounts payable/receivable, and integration across its financial workflows. QuickBooks markets construction tools for estimates, invoicing, expense and labor tracking, and project profitability, with capabilities depending on the selected subscriptions. [1] [2]
| Decision | FOUNDATION | QuickBooks Online |
|---|---|---|
| Job-cost depth | Evaluate construction-specific detail and budget-to-actual reporting | Test project tracking against the detail your team requires |
| Payroll | Evaluate the construction payroll configuration with your actual rules | Confirm the exact Workforce/payroll subscription and reporting setup |
| WIP and reporting | Vendor materials describe WIP and construction financial reporting | Demonstrate the required report, including any supplemental workflow |
| Implementation | Scope migration, configuration, training, and reconciliations | Include app subscriptions and staff workarounds in the total cost |
Do not rely on outdated payroll assumptions
It is no longer accurate to make a blanket statement that QuickBooks Online cannot produce certified payroll reports. Intuit’s reviewed support article describes setting up the federal WH-347 report in QuickBooks Workforce and associates the article with Online Payroll Premium and Elite. Confirm your subscription, pay types, fringe setup, and required outputs in a demonstration. A report feature alone does not establish compliance for every contract. [3]
Test one complete job
Ask each vendor to process the same sample: budget and cost codes, labor and burden, supplier invoice, progress billing, retainage scenario, change, and month-end report. These are acceptance tests, not a claim that every item is included in every plan. Have your controller or construction CPA identify missing information and reconciliations.
FOUNDATION’s construction reporting materials include WIP and revenue-recognition workflows. Verify the exact modules, configuration, and accounting approach in your quote. For either system, compare migration effort, training, connected apps, support, and staff time with subscription fees. [4]
Cora’s recommendation: keep a system that produces reliable information without excessive manual effort. Evaluate a move when workarounds become expensive or obscure project performance. Decide with your accounting team using actual data and a documented migration plan.
